FiveW Technology Ltd ("we", "us", "our") operates Cove, a sales intelligence platform available at growwithcove.com and app.growwithcove.com (the "Service"). This Privacy Policy explains how we collect, use, and protect information about you when you use the Service.

We are the data controller for personal data collected through the Service, unless otherwise stated. If you use Cove as part of an organisation's account, that organisation may be the data controller and we act as data processor on their behalf.

What information we collect

Account information you provide

• Name, email address, job title, company name
• Password (stored as a secure hash, never in plain text)
• Billing details (processed by Stripe, we don't store card numbers)
• Profile information you choose to add

Sales data you upload or generate

• Lead and contact information
• Deal and pipeline data
• Meeting notes and call transcripts
• Emails and messages you connect
• Any files you upload

Technical data collected automatically

• IP address, browser type, device information
• Pages visited, actions taken, time spent
• Log data and error reports
• Cookies (see Cookies section below)

Third-party data we may access with your permission

• Companies House public data (UK company registry)
• Data from AI assistants (Claude, ChatGPT, etc) via MCP connections

How we use your information

We use your information to:

• Provide, maintain, and improve the Service
• Process your subscription and take payments
• Send you service-related communications (transactional emails)
• Analyse deals, generate AI insights, and produce recommendations
• Detect fraud and abuse
• Comply with our legal obligations

We do NOT:

• Sell your data to third parties
• Use your sales data to train AI models
• Share your data with advertisers
• Use your data for our own marketing without your consent

Legal basis for processing (UK GDPR)

• Contract: to provide the Service you've signed up for
• Legitimate interests: to improve the Service, prevent fraud, communicate about your account
• Legal obligation: to comply with tax, accounting, and legal requirements
• Consent: for marketing communications (which you can withdraw at any time)

Third-party services we use

To operate the Service, we share data with the following processors:

Anthropic PBC (Claude API) - AI processing of sales content, transcript analysis, and playbook generation. Content is processed to generate insights and is not used to train models.

Amazon Web Services (AWS) - File storage (S3, region eu-west-2). Screenshots, uploads, and file attachments.

Stripe - Payment processing, subscription management. Card details are handled directly by Stripe; we never see or store them.

SendGrid (Twilio) - Transactional email delivery.

Cloudflare - Content delivery, security, bot protection (Turnstile).

Render - Application hosting.

Google Workspace - Business email and internal communications only.

Each processor has appropriate safeguards in place and is contractually required to protect your data. Where data leaves the UK/EEA, we rely on Standard Contractual Clauses or equivalent transfer mechanisms.

MCP (Model Context Protocol) connections

If you connect Cove to an AI assistant via MCP (such as Claude Desktop or ChatGPT), that assistant can access your Cove data when you make requests. Data accessed this way is subject to that AI provider's own privacy policy. You can revoke MCP access at any time from your Cove account settings.

How long we keep your data

• Active account data: for as long as your account is active
• Cancelled accounts: 30 days after cancellation, then deleted (unless we're required to retain for legal reasons)
• Financial records: 6 years (UK legal requirement)
• Backups: encrypted backups may retain data for up to 90 days after deletion

Your rights under UK GDPR

You have the right to:

• Access the personal data we hold about you
• Correct inaccurate data
• Erase your data ("right to be forgotten")
• Restrict how we process your data
• Data portability, receive your data in a machine-readable format
• Object to processing based on legitimate interests
• Withdraw consent where consent is the legal basis
• Lodge a complaint with the Information Commissioner's Office (ICO)

Cookies

Cove uses cookies to:

• Keep you signed in (essential)
• Remember your preferences (essential)
• Analyse how the Service is used (analytics)
• Detect and prevent fraud (essential)

We don't use advertising cookies. You can control cookies through your browser settings, but disabling essential cookies will break parts of the Service.

Data security

We take reasonable steps to protect your data, including:

• Encryption in transit (TLS/HTTPS)
• Encryption at rest for file storage
• Access controls and least-privilege permissions
• Regular security updates
• Multi-tenant isolation to prevent data mixing between accounts

No system is 100% secure. If we become aware of a breach affecting your data, we'll notify you and the ICO within 72 hours as required.

Children's data

Cove is not intended for children under 18. We don't knowingly collect data about children.

International transfers

Some of our processors (like Anthropic, Stripe, SendGrid) are based in the United States. Where data is transferred outside the UK, we rely on:

• Adequacy decisions where they exist
• Standard Contractual Clauses (SCCs)
• Data Processing Agreements

Changes to this policy

We may update this policy. Material changes will be communicated by email or in-app notification. The "last updated" date at the top of this page shows when the current version took effect.
